D: I was just in a group yesterday and someone was like “You know, I need to hire a virtual assistant because I just can’t keep up with everything.” And I believe in virtual assistants, virtual assistants are great! But the whole point is you should never do something manually that you can set up a system to do. If you can set it up so it happens in automation, do it. The problem with solo-preneurs, entrepreneurs, and the small business owner is you’re wearing four thousand different hats! And it’s extremely difficult to stay on top of everything, that’s why you set up automation to make that happen so that you don’t have to worry about it. The stuff you’ve set up once will happen and run forever. 

N: What would you say to the people who think they don’t need email marketing because their social media presence is so strong?  

D: Followers and likes do not pay your power bills. A while ago Facebook was down for the better part of a day and people panicked because all of a sudden, they realized “I have absolutely no control”, Facebook could go away at any time. Instagram could go away at any time.You use Facebook or Instagram or whatever your preferred platform is as a tool to get people into your database. If you put out a post of Facebook or Instagram or whatever there’s no guarantee anyone’s going to see that. If you have them in your database and you own the relationship, they’re part of your tribe, they’re part of your community and you can communicate with them. You cannot own that relationship if they only know you through social media. I’m all for social media, social media is fantastic, it’s your big billboard, it’s how you say, “come be a part of this”, but you’ve got to get people in your database, because once they’re in your database, now you can nurture them and take care of them. And you do that through email marketing.

N: What would you say to those entrepreneurs who want that direct contact but are concerned email marketing is oversaturated because people sign up for too many lists? Do people even open emails anymore?  

D: It’s true, there are a lot of emails that go out. I get hundreds of emails everyday, I’m not saying I read all of them. Do you know what the most important factor is in helping them decide if they’re gonna open or delete that email? It’s not your subject line, it’s not the time of day, it’s not the day of the week, it’s not none of that stuff. It is your name and your reputation. It’s the relationship that you build. If I get an email from Sandra Yancey, I open that! I have a relationship, I like that relationship, and I want to open that. I’m looking forward to getting that stuff. If I get an email from somebody who emails me once a quarter and I don’t know who they are, and I don’t know what they’re talking about, I’m gonna delete that. You use email to build the relationship. That’s how people will open the emails, when they see YOUR NAME and if you have a reputation for sending quality content. Some people think “I don’t want to overwhelm people, so I’m going to send fewer emails”, which is the exact opposite of what you should do. By sending fewer emails, you distance yourself even more from people and then when they do get an email from you once a month or once a quarter, they’re like “I don’t know who this person is”. So, the key is to build the relationship, and to foster that relationship, and actually send more emails, but send GOOD CONTENT in the emails. Don’t send “spammy” stuff in your emails. Email marketing is not there for you to spam people, it is there for you to build relationships with people.

The Focused Entrepreneur

With so many balls in the air, it can be easy to drop them all when the unexpected nudges it’s way into your line of vision. It’s in the entrepreneur’s nature to multitask and wear several different hats at once. But when does too much multitasking hurt the quality of your work and your productivity? What happens when an email totally derails your day? How can you manage to stay on task?
 
DND is your friend. I know we all think that it’s laughable to turn off our phones, but we lived without them for thousands of years before the 90s made them ubiquitous and the noughties made them essential. But Do Not Disturb isn’t permanent. It’s okay to unplug long enough to get things done. And remember, you can still allow emergency contacts to reach you on this setting, so if you need your family to have access, no worries!
 
Turn off notifications!  Yes, social media is a necessity for business owners, there’s no denying that. But when push comes to shove, and you need to keep your eye on the prize. Turn off those notifications. On your phone, on your desktop, your tablet- turn them all OFF. Take advantage of those automatic responses and trust that any comments or messages will be there when you return. As long as you respond within 24 hours, you’re all good!  
 
Don’t be a slave to email.  Set designated times to check your email and stick to them. That doesn’t mean that you can’t utilize email between those times, it just means that you’re not responding to incoming emails outside of designated times. It’s so easy to say, “this will only take a minute”, but when you have an entrepreneurial level of emails in your inbox “this will only take a minute” can easily turn into hundreds of minutes.

Remember that successful marketing is about putting the right message in front of the right person at the right time.

You’re thoughtfully crafting a conversation with your ideal client. Whether that conversation happens in a store, in an elevator, over lunch or coffee, through an online funnel, or in some weird exchange of carrier pigeons, at each step along the path toward the sale, your messaging needs to fit.

The Customer Conversation

From start to finish, there are six phases in a typical sales conversation. Each phase has a specific goal, moving the prospect along the sales path while cultivating our relationship with them. When our ideal prospect doesn’t take the next step along our sales path, it’s likely that we’ve misstepped in the conversation. Maybe we’ve “rushed the relationship” by asking for too much too soon, or we didn’t build enough rapport or trust. We didn’t educate, or we didn’t show enough evidence or proof that we can help them achieve the result they’re looking for.

Before you worry about which funnel you’ll use to attract leads and sales for your business, take the time to map out these six phases of your customer conversation to make sure your messaging makes sense.

1. Kickoff

Just like you would do in real life, you need to kick off a conversation with your ideal prospect. The goal of this phase is to break through the digital noise and grab the attention of our prospects with a message that is relevant and compelling.

How you start this conversation depends on where your prospective buyer is starting from. What is your ideal prospect already looking for? Do they know who you are and what you do, or are they a complete stranger? What messages have they heard before and might be starting to tune out?

Short attention spans and increased skepticism have changed how we start these conversations online. Whether you’re using an advertisement, social media post, email or some other communication channel, we want your ideal prospect to think, “Oh, this is different”, “This is what I’m looking for”, “This is what I need” or “What’s this? I want to know more”.

Think about how you start your conversation with your ideal client. What are you assuming your ideal prospect already knows, is familiar with, or has tried before in order for your initial message to resonate?
